Pilot scope

The first pilot covers one business workflow.

These are the typical scopes. Each maps to implemented, test-covered capability in the product — the pilot validates that capability against your real process, which is exactly what “pilot validation” means.

Procurement to finance

Implemented

Purchase order → goods receipt → stock & FIFO cost → vendor invoice → three-way match → AP approval → GL evidence

Includes approval workflow with a post guard: no GL posting without sign-off.

Order to cash

Implemented

Sales order → shipment → inventory & COGS → customer invoice → AR receipt → GL evidence

Includes credit-limit checks, partial reversals and AR open-item allocation.

Inventory & warehouse control

Implemented

Multi-warehouse stock movement, transfers, adjustments, reservations → cost ledger → finance reconciliation evidence

Stock ledger and cost ledger are written together with the movement, with source-document references.

Production to GL

Implemented

Production order → material issue → WIP → output receipt → scrap/rework → variance posting on close

Core lifecycle and postings are implemented; BOM/routing depth and MES integration are roadmap scope.

    We review your application against the fit criteria and reply either way. If the fit is unclear, we ask questions instead of signing you up.

    Workflow discovery

    Together we pick one business workflow and map its real documents: who creates them, who approves them, what finance needs at the end.

    Data and process readiness review

    We assess master data (items, partners, warehouses, chart of accounts), document numbering needs and process gaps before anything is configured.

    Scoped configuration

    A dedicated tenant is set up with your roles and permissions, master data and document sequences — scoped to the pilot workflow only.

  5. 05

    Controlled validation

    Your team runs the workflow end-to-end on realistic scenarios. Every posting is traced from source document to stock, cost, GL and audit evidence.

  6. 06

    Feedback and exit assessment

    We document what worked, what did not, usability findings and open gaps — and agree a clear go / no-go on next steps.

  • Participation in scheduled validation and feedback sessions
  • Honest evaluation — including telling us where the product falls short

Duration and commercial terms

Pilot duration and commercial terms are not published because they are agreed per engagement during qualification, based on workflow complexity and readiness. We will state them explicitly before the pilot starts — nothing begins on implied terms.

How success is measured

  • The pilot workflow runs end-to-end in Gruvero, on your process, without falling back to spreadsheets
  • Every posting created during the pilot can be traced to its source document
  • Stock and finance evidence for the pilot scope come from the system, not from reconciliation files
  • Usability and gap findings are logged, triaged and answered
  • The exit assessment produces a decision both sides can defend

Not part of the first pilot

  • Production go-live and cutover — the pilot validates fit; go-live is a separate, explicit decision
  • Historical data migration — pilots run on scoped master data and realistic scenarios, not full history
  • Custom integrations with legacy systems — an API and webhook event foundation exists, but integration build-out is scoped separately after the pilot
  • Payroll, HR, POS and e-commerce workflows
  • Formal compliance certification claims

After the pilot

The exit assessment closes the pilot with one of two outcomes:

  • A scoped continuation — the next workflow, or preparation for productive use of the validated one, on explicitly agreed terms.
  • A clean stop — you keep the documented findings, and there is no automatic commercial obligation.
